Last week, we had the privilege of producing a 600-person event at the stunning Ritz-Carlton in Key Biscayne, Florida. This celebration blended children’s activities and elevated adult experiences, all originally planned for a gorgeous beachfront setting…and then came the weather.
Our client, having monitored the forecast closely, made the decision—graciously and decisively—to move the event indoors a full 24 hours in advance. That decision gave every vendor and department the runway they needed to pivot with excellence. Ironically? After a brutal set-up window full of wind and rain, the skies cleared and the evening was beautiful. But the call was still the right one.
Because weather decisions aren’t made based on what’s happening at event start time. They’re made to ensure the hours of setup beforehand are safe, smooth, and successful—for every vendor, every staff member, and ultimately every guest.

Confirm early on that your team can adapt to last-minute layout or location changes. - Do you have diagrams for both indoor & outdoor options?
Being able to visualize both Plan A and Plan B keeps everyone on the same page. - Who makes the weather call—and when?
Define the decision-maker and the latest time you can pivot without chaos.
